Complete Description of the Job.
   The Office Coordinator provides overall direction for activities related to client contact, office management, and general marketing. The position establishes, implements, and monitors office policies and procedures to ensure the firmís overall effectiveness and the ability to meet its goals. Additionally, the Office Manager/Administrator develops and oversees the firmís marketing campaign, brand awareness, and ensures overall high- quality client service in the office environment. Essential Functions:  Prepare, implement, and maintain office policies and procedures  Maintain client and other office files inclusive of off-site storage and determine when files are on schedule to be destroyed  Work with third-party vendors, as needed, to keep office clean, operational and running smoothly (e.g. water supplier, cleaning, UPS, Fed-ex, etc.). Ensure pricing with all vendors is competitive  Check inventory weekly and purchase supplies as needed  Update general mailbox voicemail to reflect office shut downs for holidays, inclement weather, etc.  Serve as a liaison between advisers and clients as needed  Receive calls and direct client inquiries to proper individuals  Schedule client review  Ensure that all applicable firm software is renewed  Update and maintain organization of firm shared drive and intranet  Receive, process and deposit client checks  Maintain customer and vendor files by updating with pertinent information  Coordinate and send out mass mailings and global emails for the firm  Manage monthly e-newsletter  Design and implement annual marketing strategy for the firm; translate firm objectives and strategies to develop brand portfolio objectives and plans to facilitate growth  Assist with firm brand awareness through community outreach/awareness/networking activities  Oversee marketing compliance  Act as liaison to team regarding marketing activities  Develop and maintain marketing leads  Track source of all leads and opportunities; proactively follow-up on incoming leads  Manage the prospect development workflow and process  Develop and administer marketing database Ė including client and prospect information, mailing list applications, access to financial reports, etc.  Oversee internal and external communications and systems  Oversee website development  Manage various social media platforms  Coordinate events  Oversee development and maintenance of marketing key indicators report  Manage and Implement marketing campaigns and track measurements  Oversee ad placement and sponsorship opportunities; manage publication relationships  Develop and deliver insightful presentations and strategies to the firm and leadership, where appropriate Knowledge, Skills, Education and Experience:  Proficient in Word, Excel, Outlook, PowerPoint, and CRM software  Excellent written and verbal communication skills  Excellent interpersonal and listening skills  Team player, able to work well with all levels of the firm, as well as with clients  Strong knowledge of principles and practices of personnel administration and office management  Develops network of resources  Actively seeks better ways of doing things; proactively grows skills and knowledge  Works well under pressure and thrives in a fast-paced environment  Able to multi-task and proactively solve problems  Self-starter, energetic, assertive  Able to work effectively with the highest standards of confidentiality and ethics  Able to work independently and establish priorities  Must be organized, meticulous, and detail-oriented  Excellent typing, spelling, and proofreading skills  Able to project a professional image of her/himself and the firm to clients  Excellent follow-through  Client-first attitude  Bachelorís degree  Minimum of 5 years proven success in an office management/marketing in a professional services environment  Financial Services industry experience preferred
