   NYSRPS is an 81 yr old NOT-FOR-PROFIT organization for park and recreation professionals. The main office is located in the heart of SPA State Park in Saratoga Springs, in the Admin building. ***NOTE: The New York State Recreation and Park Society (NYSRPS) is not an affiliate of the NY State Parks Department. Applicants with QUICKBOOKS ONLINE EXPERIENCE ONLY need apply. Commuters should live within 1/2 hr or less drive time. The Bookkeeper / Administrative Services Executive (ASE) will work closely alongside the NYSRPS Executive Director to tend the needs of the Society and will be called upon for a variety of duties. Primary position (bookkeeping) will focus on the following: Prepare accounts payable, disbursements, reconcile bank statements, deposits, posting to general ledger, maintenance of records for tax / audit purposes. Prepares financial reports and oversees general bookkeeping operations (enters and pays all bills, deposits checks, and processes credit card payments). Work closely with Society accountant providing all needed financials to conduct annual Review/ Audit. Bookkeeper / ASE will need to interface with Apricot, NYSRPSís membership management system. Both Quickbooks and Apricot need to be maintained for regularly updating membership accounts. Regular follow-up calls with Society members will be needed for timely processing of memberships. In addition to bookkeeping, ASE will be responsible for communicating with GTM (payroll processing company) for HR needs & provide insurance oversight. The Society would like assistance also with grant procurement. Grant procurement and administration is a needed function of a non-profit and ASE may be called upon to research potential opportunities. The Executive Director may ask ASE to assist with preparation of documents for grants, applications, and provide follow up functions as needed per a grantís requirements. In addition, ASE will be the point person for our payroll processing company, GTM and conduit to oversee our insurance policies, to ensure timely renewals and provide annually to our landlord. Ideal candidate will have experience with: QuickBooks MAC CRM Systems Google Drive / Excel / Word Grant Procurement / Administration Hours, Pay & Benefits: This position requires an average of 15 hours a week. HIGH SEASON November - April will be 20 hours a week (with the exception of holiday weeks) and LOW SEASON May - October will be 10 hours on average a week. $18/ hr.+ (depending on experience) Process: Interested applicants should submit a formal cover letter of interest and detailed resume and MUST include three professionals references. Qualified candidates will be screened over the phone and contacted for a conversational in-person interview. Candidate should be prepared for a demonstration of computer aptitude on a MAC / basic administrative skills. NYSRPS main office is comprised of a very small staff (1 PT Membership Services Coordinator and the Executive Director). Daily office cleaning is performed. The park environment is pleasant for a seasoned professional looking to find a part time home.
